Preamble

To promote a well-organized and harmonious guild environment, this Guild Revised Code sets forth the standards and expectations for all members. By adhering to these guidelines, we strive to foster a community of respect, dedication, and active participation.


Article I: Inactivity Guidelines

Section 1: Activity Requirements

Members are required to maintain regular participation in guild activities. Active engagement is crucial for the vitality of the guild.

Section 2: Notification of Extended Absence

If a member anticipates being inactive for a period exceeding 7 days, they must notify an officer in advance. Failure to do so may result in removal from the guild if inactivity persists beyond 30 days.

Section 3: Consequences of Inactivity

Members who are inactive for more than 30 days without prior notice may be removed from the guild. Exceptions to this rule may be considered under special circumstances if communicated appropriately.

Section 4: Reinstatement

Members who have been removed due to inactivity may reapply to the guild. Reinstatement will follow the standard application process, and previous activity history may be considered. Reinstatement must be approved by the Guild Council through a majority vote and then by either the Guild Leader or Chief Councilor.


Article II: Membership Requirements

Section 1: Minimum Level Requirement

Prospective members must be at least level 1 to apply for guild membership. This requirement ensures a baseline of experience and readiness.

Section 2: Trial Period

New members may be required to undergo a trial period of up to 30 days. During this time, their participation, behavior, and alignment with guild values will be assessed. Trial periods can be removed by either the Guild Leader or Chief Councilor.

Section 3: Promotion to Member

Upon successful completion of the trial period (if applicable) and fulfillment of pre-requirements (such as the Guild Member Application), Initiates will be promoted to the rank of Guild Member. Promotions will be announced at the next Guild Meeting or Guild Leadership Meeting. Members being promoted must be present to receive the promotion.


Article III: Behavioral Expectations

Section 1: Code of Conduct

All members must conduct themselves with respect and courtesy. Harassment, discrimination, and toxic behavior are strictly prohibited and will result in disciplinary action. Disciplinary actions can be taken by any Guild Guardian, Guild Councilor, Chief Guild Councilor, or Guild Leader.

Section 2: Conflict Resolution

Members are encouraged to address conflicts constructively. Issues should be reported to the Guild Leader or Chief Councilor for mediation. The leadership team will handle disputes impartially and fairly.

Section 3: Community Engagement

Members should actively contribute to a positive and supportive guild atmosphere. Constructive feedback is welcome, provided it is delivered respectfully and in alignment with guild values.


Article IV: Event Participation

Section 1: Event Signup

Members are expected to sign up for guild events in advance. This allows for better planning and ensures optimal participation.

Section 2: Attendance Expectations

Regular attendance at guild events is encouraged. If a member cannot attend, they must notify the event organizer as soon as possible to facilitate proper adjustments.

Section 3: Event Etiquette

Members must adhere to event guidelines and respect the decisions of event leaders. Constructive feedback on events should be provided in a respectful and thoughtful manner.


Article V: Communication Protocols

Section 1: Guild Communication Channels

Guild communication should occur through official channels such as Discord. These channels are used for announcements, event coordination, and general discussions.

Section 2: Respectful Communication

Members must communicate with respect and professionalism. Personal attacks, spam, and off-topic discussions are discouraged and may result in disciplinary action.

Section 3: Privacy and Security

Members should respect each other’s privacy. Personal information and screenshots should not be shared without explicit consent from the individuals involved.


Article VI: Amendments and Review

Section 1: Amendments

The Guild Revised Code may be amended by a majority vote of the Guild Council Members, with approval from the Guild Leader. Proposed changes will be reviewed and communicated to all members.

Section 2: Review

This code will be reviewed periodically to ensure its relevance and effectiveness. Feedback from members is encouraged and will be considered during the review process.


Article VII: Definitions

Section 1: Amendments

Amendments are changes to a Code, Rule, or Regulation. These changes can involve adding new provisions, modifying existing ones, or removing outdated rules. Amendments ensure the Guild Revised Code remains relevant and effective in addressing the needs of the guild.

Section 2: Bills

Bills are proposed changes to the Guild Revised Code that are brought before the Guild Council for consideration. These proposals can be submitted by any member of the guild and must go through a review and voting process before being enacted.

Section 3: Codes

Codes refer to the Laws, Rules, or Regulations that are to be followed by all guild members. These codes are designed to maintain order, ensure fair play, and uphold the values and principles of the Guardian of Northrend.


Article VIII: Guild Bank and Shared Resources

Section 1: Access to Guild Bank

Access to the guild bank is limited to full guild members. Initiates do not have access to shared resources until they are promoted to full members.

Section 2: Resource Contributions

Members are encouraged to contribute to the guild bank to support guild activities and other members. Contributions should be made in a spirit of generosity and community support.

Section 3: Resource Withdrawals

Withdrawals from the guild bank should be made responsibly and primarily for guild-related purposes. Abuse of guild resources may result in disciplinary action.

Section 4: Bank Management

The guild bank is managed by designated officers who are responsible for overseeing contributions and withdrawals, ensuring fair use, and maintaining records.


Article IX: Recruitment and Onboarding

Section 1: Recruitment Policy

The guild actively recruits members who align with our values and goals. Recruitment efforts should focus on quality over quantity, ensuring new members are a good fit for our community.

Section 2: Application Process

All prospective members are encouraged to join the Northrend Guardian as an Initiate, however, must complete an application process which includes an interview with an officer and a review of their suitability for the guild to become Official Guild Members.

Section 3: Onboarding New Members

New members will undergo an onboarding process that includes an introduction to the guild’s rules, expectations, and available resources. Mentorship may be provided to help new members integrate smoothly.

Section 4: Trial Period Evaluation

During the trial period of which will not exceed thirty (30) days, new members’ participation and behavior will be evaluated. Feedback will be provided to help them understand areas for improvement and ensure they meet guild standards.


Article X: Disciplinary Procedures

Section 1: Reporting Violations

Members are encouraged to report any violations of the Guild Revised Code to an officer. Reports will be handled confidentially and with respect for all parties involved.

Section 2: Investigation Process

Reported violations will be investigated by the Guild Council or designated officers. The investigation will be thorough and impartial, considering all available evidence and testimonies.

Section 3: Disciplinary Actions

Depending on the severity of the violation, disciplinary actions may include warnings, temporary suspension, demotion, or expulsion from the guild. The Guild Leader or Chief Councilor will have the final say in disciplinary matters.

Section 4: Appeals

Members have the right to appeal disciplinary actions. Appeals must be submitted in writing to the Guild Leader or Chief Councilor within a specified timeframe. The appeal will be reviewed, and a final decision will be made.


Article XI: Executive Authority

Section 1: Executive Authority Clause

In situations where there are no existing rules or regulations, the Guild Leader, or the Chief Guild Councilor (if the Guild Leader is offline), has the authority to enact temporary rules or regulations to address the issue under the Guild Revised Code (G.R.C.)

Section 2: Enactment and Redaction

Executive Authority enacted Temporary Rules and/or Regulations may be enacted or redacted/removed by the Guild Leader or Chief Guild Councilor, if the Guild Leader has been offline for the allotted timeframe, at their discretion unless the Guild Council decides to convene a meeting and vote on the matter.

Section 3: Communication of Changes

Any changes enacted under Executive Authority must be communicated to all guild members as soon as possible. These changes may be subject to review and approval by the Guild Council at the next meeting upon request of a Guild Council Member.


Article XII: Guild Events and Activities

Section 1: Event Scheduling

Events will be scheduled regularly to accommodate the majority of members. Event times will be communicated well in advance to ensure maximum participation.

Section 2: Types of Events

The guild will host a variety of events, including raids, dungeons, PvP battles, role-playing events, and social gatherings. Members are encouraged to participate in events that interest them.

Section 3: Event Leadership

Events will be led by designated officers or experienced members. Event leaders are responsible for organizing, coordinating, and ensuring the smooth execution of events.

Section 4: Event Feedback

Members are encouraged to provide feedback on events to help improve future activities. Feedback should be constructive and submitted to the event leader or an officer.


Article XIII: Roles and Responsibilities of Officers

Section 1: Officer Roles

The guild’s officers include the Guild Leader, Chief Councilor, Council Members, Guardians, Guild Treasurer, Guild Historian, and other honorary positions. Each role carries specific responsibilities crucial to the guild’s functioning.

Section 2: Officer Duties

Officers are expected to uphold the guild’s values, assist members, organize events, and enforce guild rules. They must lead by example and maintain active participation in guild activities.

Section 3: Election and Appointment of Officers

Some officer positions are elected by guild members, while others are appointed by the Guild Leader. Elected officers serve a term of one month and may run for re-election.

Section 4: Officer Meetings

Officers are required to attend regular meetings to discuss guild matters, make decisions, and plan future activities. Attendance is mandatory unless prior notice is given.


Article XIV: Recognition and Rewards

Section 1: Member Recognition

Members who demonstrate exceptional dedication, leadership, or contributions to the guild will be recognized. Recognition may include special titles, awards, or promotions.

Section 2: Guild Achievements

The guild will celebrate collective achievements, such as completing difficult raids or reaching milestones. These achievements will be documented and celebrated in guild meetings.

Section 3: Rewards for Participation

Members who actively participate in guild events and activities may receive rewards, such as in-game items, gold, or special privileges. Rewards will be distributed fairly and transparently.
